The Box Office is your central hub for creating and managing all events displayed on the website, including both home and away games, and both ticketed and non-ticketed events.

Creating Events:

  • Ticketed Events: The Box Office requires all events for which the school is responsible for ticketing to be built as a Ticketed Event.

  • Away Games & Free Events: For events where the school isn't handling ticketing (like away games or free events), these should be set up as Schedule Only Events. If you do not want to specify the venue for every away game, simply select hide venue.

    • To manually add a ticketing URL for an away game using external ticketing, set the event type to External Ticketing.

Event Information Updates:

  • School Year: All events require a school year selection. The system automatically updates the first option in the dropdown every July 1st. When you're building events, the platform will always display the current and next school year.

  • Team/Activity: Team/Activity is now required for all events, regardless of department. Previously, this was only required for athletic events. Collecting this information for all events enables the creation of non-athletic passes.

  • Participant Selection: When creating athletic events, participating schools can be selected. If a participating school isn't a Hometown customer, it's possible to "create your own" within the event. Additionally, one participant per event can be designated as Home.

Bundled Events:

You can "bundle" multiple events under a single ticketed event (e.g., Freshman, JV, and Varsity Basketball games). The parent ticketed event will be visible on all ticketing pages, while the "schedule-only" child events will appear exclusively on Engage for websites.

When bundling events, the ticketed event will be built as a Ticketed Event, and each underlying child event (e.g., Freshman, JV, and Varsity games) will be built as Schedule Only Events.

Event Creation:

  • Single Event Creation: We've updated single event creation to include these new fields and streamline the form for easier navigation. You now also have the ability to select multiple teams when building an event, allowing you to create a single ticketed event that encompasses multiple related events, such as Freshman, JV, and Varsity Basketball games.

  • Third Party Import: The third-party import feature has been enhanced, now allowing schools to create both their home and away events. Currently, all home events imported this way are automatically set up as ticketed events, while all away events are built as schedule-only events. Please note that at this time, there isn't an option to bundle events using the third-party import.

  • Event Wizard: The Event Wizard now supports creating bundled events, collecting participants, and creating schedule-only events.

Visibility and Publishing:

For an event to appear on Engage, it must be published. Ticket on-sale times can be controlled at the individual ticket level. 

  • For all ticketed events, we recommend using Ticketing + Engage so the event appears both on ticketing pages and your Engage website.

    • If a user creates a ticketed event that they don’t want to display on their Engage site (e.g., Prom shouldn't appear on the athletics site), they can select Ticketing Only.

  • All sub-events (or child events) are always Engage Only — they appear on the website but not on the ticketing pages. (Fans can still view the full schedule when purchasing tickets.)

  • For schedule-only or externally ticketed events (Away Games & Free Events), we recommend Engage Only so they are displayed on their website without ticketing.

Coming Soon:

  • Updated Event Listings: We're enhancing event listings for fans to include participating school logos and clearly distinguish between home and away events.

  • Engage Away Game Improvements: We're developing a new feature to simplify ticket purchasing for away games. Soon, if an Engage customer creates an Away Game/Schedule Entry Only event, and the home team also uses Hometown Ticketing, a Buy Tickets button will automatically appear on their website. This button will redirect users to the home school's ticketing page, provided the event isn't designated as free.

  • Easier Event Discovery: We're simplifying how fans find events! For all customers, even those without Engage, their ticketed events will now automatically appear on their ticketing pages (http://events.hometownticketing.com and in the Fan App) as long as they're tagged or selected as a participant. For example, if School A creates a ticketed event against School B, that event will also show up on School B's ticketing pages, making it easier for fans to locate games. Note for Engage Customers: To prevent duplicate results, away events and sub-events built for sites will not be displayed on ticketing pages.
